Running your team

Build and publish the schedule

Add shifts, copy last week, use templates or the AI Schedule button, publish, and handle open shifts, coverage and time off.

Open Schedule Builder (owners and managers). Staff see View Schedule, which only shows published shifts.

Add shifts

  1. Use the week arrows or Today to pick the week.
  2. Tap + in a day (on a phone, + Add shift), or drag a shift to another day.
  3. Tap a shift to open Edit Shift: the person, date, start, end, break and role. Delete Shift removes it.

The grid saves as you go. New shifts are drafts: your team can't see them until you publish.

Faster ways to fill a week

  • Copy Last Week copies last week's shifts as drafts.
  • Templates saves this week as a template (+ Save this week as a template) and applies one later.
  • ✨ AI Schedule shows on a week with no shifts yet. It builds drafts from your sales forecast, who's available, approved time off, your private labor notes and last week's pattern. Your standing instructions for it live in Settings, Team & schedule, How schedules get built.
  • Auto-fill Weekend fills Saturday and Sunday from 9 to 5.

Or ask the assistant: "build next week like this week, but give Sam Fridays off."

Publish

Choose Publish and confirm. Your team can then see the week. People with the iPhone app get a notification, and an email goes out when email is set up.

Open shifts

In Edit Shift, set the person to Open — let the team claim it, choose who can claim it, and tick A manager has to approve the claim if you want to approve. Staff find it under Open Shifts and tap Ask for it or Take it.

Coverage

Staff choose Ask for coverage on Open Shifts when they need a shift covered. Teammates can offer to take it, and managers approve it under Waiting on you.

Time off

  • Staff open Time Off, choose Request time off, pick the days (all day, or the hours), add a reason if they like, and Send request.
  • Managers see Time off requests. Open a request with Ask a question or its messages to find Approve and Not approved.

Availability

Each person sets their availability on the Availability tab of Clock In/Out: days off and preferred shifts, once or every week. A Next week card asks them to confirm it's still right.

The labor forecast

Above the grid, the labor forecast shows how busy each day should be and where you need cover. It needs your sales history from Square: until it has it, choose Sync sales history (see Connect Square).

Labor law

If your shifts break a rule for your state (breaks, minors' hours and more), a Labor law panel lists the issues and marks the shifts. For minors' rules, add birthdays and school status in Team Roster. It's guidance, not legal advice.

Your week's start day

Your schedule and pay week start on your business's start day: Monday for new businesses. It can't be changed in Settings; if you need another day, email support@mdmltechnologies.com.

Still stuck?

Ask the assistant (the chat button at the bottom right of the app), or talk to MDML. Our AI assistant answers 24/7, and a person replies Monday–Friday, 9am–5pm Eastern, within 1 business day.
